Admin Assistant
PURPOSE:
To provide office and administrative support for church operations – which includes office database updating, word processing and publishing (using MSWord, Excel, Membership Plus, Calendar Creator, MSPublishing, Zoom)
ACCOUNTABILITY:
The Administrative Assistant is accountable to the Head of Staff (Pastor).
QUALIFICATIONS:
Demonstrated ability to handle sensitive information regarding congregants and staff with the highest level of confidentiality and discretion.
Organize, prioritize and complete projects in a timely manner
Work with minimum supervision
Maintain a positive, friendly attitude
Possess good computer and word processing skills
Possess knowledge of phone, copier, postage, and email systems Possess basic bookkeeping understanding
RESPONSIBILITIES:
- Provide typing, data entry, and mailing support for the pastor, other staff, and church committees
- Answer phone, direct calls, and insure that messages get to the right person
- Assemble, type, copy, collate and distribute publications, Sunday worship aids and ministry news, directory, correspondence, emails, and reports in a timely fashion
- Order office supplies, ensuring adequate levels are maintained
- Maintain the church master calendar of events and room scheduling
- Coordinate volunteer support, (assembling worship aids, newsletters, and distributing reminders for support functions, i.e., ushers, Eucharistic ministers, greeters, and liturgists)
- Perform general office filing
FINANCIAL SUPPORT
- Make timely bank deposits of Sunday and other offerings
- Enter member contributions to the church database (Church Windows)
RELATIONSHIPS
The Administrative Assistant will work closely with the staff, Session members, and volunteers in preparing reports and communicating messages. They will answer the telephone and field basic questions from church members and the general public. They will work with staff and volunteers in preparing the Ministry News and worship aids. They will also handle support requests from all church recognized activities by receiving and routing them.
EVALUATION
Performance reviews will be conducted annually by the pastor, in consultation with the Personnel Committee. Performance issues will be addressed at any time throughout the year as determined by the pastor and/or the Personnel Committee.
